IT Project & Training Coord

Job Summary

Assists and provides support for all IT Project Management Office projects, processes, operations, and initiatives. Key responsibilities include coordinating training; creating training documentation, presentations, and leading training sessions, plus assisting with analysis, governance and tools used to plan, create, evaluate, and prioritize projects/programs and portfolio support. Develops and maintains IT project dashboards, metrics, and timelines. Presents reports at IT and project team meetings.

Job Specific Duties

  • Creates training materials and presentations for projects and leads training sessions, tracking attendance, working to ensure high attendance and completion of training, and provides follow up support to ensure high adoption rates of new systems and/or procedures.
  • Collaborates with leader to create and maintain Project Management Office project dashboards and generates project status reports and executive reports.
  • Designs and prepares presentations, metrics/analytics and other materials for IT leadership and executive committees.
  • Develops and maintains a project timeline report for all IT projects to include in dashboard reports and presents to IT leadership on a weekly or monthly basis.
  • Responsible for the overall enterprise-wide Global IT Project Management Office portfolio support, process, and tools, including the selection, implementation, training and operational ownership.
  • Administers Project Management Office systems and masters project portfolios. Acts as a subject matter expert and captures & maintains project requests through Project Management Office systems.
  • Maintains all project KPI, templates, and project documents through Project Management Office systems.
  • Collaborates with Project Management Office in formulating project implementation documents, including charter, goals, roles/responsibilities, scope, timeline, etc.
  • Identifies project requirements, scope, charter, budget, and timeline in order to facilitate Project Management Office’s development of a comprehensive project plan for each project.
  • Acts as resource to support Directors and Managers on projects not assigned to the Project Management Office.
  • Manages new Project Management Office requests from IT Directors.
  • Educates and trains outside Project Management Office audience on benefits of Project Management Office systems utilization to better manage projects.
  • Collaborates with internal customers to identify project consulting tools to use in managing their projects. Provides recommendations to ensure the project stays aligned to the budget and timeline.
  • Maintains dashboards tracking of internal customer’s progress and reports progress to leader on a weekly basis.
  • Collaborates with the various IT teams in development and/or digitalization of current and future state workflow maps for new projects.

Qualifications

Minimum Job Requirements

  • Bachelor's Degree in Business Administration or related field  
  • 1-3 years of experience working in Information Technology (IT) department or collaborating on projects with IT

Knowledge, Skills, and Abilities

  • Experience in healthcare or Project Management preferred
  • Proficient in MS office suite, Desktop Publishing, and project management solutions
  • Familiar with project management methodologies and reporting tools
  • Ability to manage multiple projects at the same time
  • Ability to prioritize work and evaluate workload in order to meet deadlines
  • Able to conduct business presentations and discuss ideas in a professional and respectful manner
  • Ability to work effectively both independently and in a team based environment
  • Excellent written and verbal communication and organizational skills
  • Ability to create training documentation, presentations, and lead training sessions
  • Demonstrates professional demeanor and independent thinking
